Instructions for Registration:

To register for the conference, please follow these instructions:

1. 1. If you already have an ITS PaperCept PIN and password, you can use the same information to login and register.
      2. If you do not have an ITS PaperCept PIN or have forgotten your password, follow the below link to request a new PIN or update your personal contact information:

      3. After signing in, scroll down to the bottom and click on “Register now” to start the registration process.
      4. If you have already registered for the conference and need to print a receipt or confirmation email, click on your name in the menu bar (far right) and select “My transactions.”

Registration fees:

Note that IV 2025 will be held exclusively in person: only in-person registrations are allowed.

The registration portal will be available soon, and the final paper submission deadline is 25 April 2025. The deadline for early-bird (i.e., Advanced) registration is 25 April 2025. All registrations between 26 April 2025 and the conference day are late registrations (based on the following table in which all fees are in Euro). 

* IEEE Member and IEEE ITS Society Member: please enter your 8 digit membership number during the registration.

Conference Registration Policy:

1. Each accepted paper (no matter if it will be presented at a regular or invited session) requires at least one full non-student registration for uploading the paper and having it included in the conference proceedings.
2. A full non-student registration covers only one accepted paper.
3. Additional papers by the same author can be covered by the same full non-student registration, at a flat rate of 450€ additional paper.
4. All registration modes labeled as FULL include access to all the technical sessions of the conference, including tutorials and workshops.
5. “Full Registration” fees are all flat fee rates and include workshop/tutorials (on June 22nd), regular sessions and plenary talks (June 23rd-25th), banquet, and reception.
6. WORKSHOP-DAY registration (a) does NOT include any paper submission, and (b) is valid ONLY for June 22nd with the lunch, but doesn’t include the welcome reception.
7. The conference registration portal accepts payments made with major credit cards only. The registration period will be closed on June 18th, 2025.
8. On-site registration will be possible with a supplementary fee of 25€.

Additional Fees:

1. Cost per paper for extra paper upload: 450€
2. 100€ per page (maximum of two beyond the nominal six-page limit). To pay for excess pages, you must first complete the final submission information about the paper in your author workspace, and then return to registration. Without that step, the excess page fee will not appear in your cart.
3. All registrations EXCEPT WORKSHOP-DAY registration include welcome reception and banquet. Additional banquet ticket (for accompanying guests) cost: 100€

Refund Policy:

To request a refund, please email contact.iv2025@gmail.com stating the registrant’s name and the payment amount, and the reason for refund. There is a non-refundable service charge of 30€ for processing refunds. After May 22nd, 2025, no refunds will be granted.
